Job Description:

The Grants Coordinator supports the College's academic, research, and workforce development priorities by managing assigned, government-sponsored grants from pre-award development through post-award administration and close-out. The position also serves as the College's Perkins Liaison and Principal Investigator for the New York State Carl D. Perkins Career and Technical Education (CTE) Grant and provides post-award oversight for other administratively complex awards requiring detailed compliance monitoring and reporting. Working collaboratively with academic and administrative stakeholders in a service-focused office, the Grants Coordinator ensures grant funds are strategically deployed in alignment with institutional goals and regulatory requirements.

Essential Functions:

Grant Administration & Compliance
  • Administer government-funded grants as assigned, from pre-award support for proposal development through post-award budget management, compliance and expenditure monitoring, reporting and close-out.
  • Ensure compliance with sponsor, SUNY, and College policies and requirements related to grants administration, budgeting, reporting, and records retention.
  • Monitor grant-funded activities and expenditures to ensure appropriate use of funds, timely completion of deliverables, and adherence to approved project scopes.

Perkins Grant Leadership
  • Serve as the College's Perkins Liaison for the New York State Carl D. Perkins Career and Technical Education (CTE) Grant.
  • Coordinate Perkins grant administration across multiple academic and administrative divisions, including outreach to programs, communication of grant requirements, and provision of technical guidance throughout the grant cycle.
  • Prepare and lead the bi-annual Perkins Community Learning Needs Assessment (CLNA), including coordination with internal and external stakeholders, data analysis, and preparation of a comprehensive campus-wide report.
  • Support planning and administration of the Perkins Local Advisory Council (LAC), including coordination of semi-annual meetings and related documentation.

Budget & Financial Oversight
  • Develop, review, and manage complex grant budgets as assigned, including forecasting, reconciliation, financial monitoring, and required fiscal reporting.
  • Advise faculty and staff on allowable costs, cost allocation, and budget modifications in accordance with sponsor and institutional requirements.
  • Coordinate with Finance and Administration and other offices to ensure accurate financial tracking and compliance with grant conditions.

Advisory, Research & Campus Support
  • Advise and guide faculty, administrators, and staff on grant opportunities, proposal development, reporting requirements, and compliance processes.
  • Conduct research to identify new grant opportunities aligned with institutional priorities, particularly government-funded programs.
  • Collaborate with Academic Affairs, Institutional Research, Enrollment Management, and external agencies to support grant development, implementation, and reporting.
  • Support initiatives that strengthen campus-wide understanding of grants administration and encourage engagement in sponsored programs.

Requirements:

Minimum Qualifications:
  • Bachelor's degree required.
  • Minimum of three (3) years of experience in grants administration, sponsored programs, or related administrative work.
  • Demonstrated experience supporting pre- and post-award grant administration, including budgeting, reporting, and compliance monitoring.
  • Experience working with government-funded grants and interpreting sponsor guidelines and regulatory requirements.
  • Strong written and verbal communication skills, with the ability to convey complex grant requirements to non-specialists.

Preferred Qualifications:
  • Experience administering city, state or federal education grants, including the Carl D. Perkins Career and Technical Education (CTE) Grant, or similar.
  • Experience serving as an institutional liaison, lead administrator, or primary point of contact for a major grant or sponsored program.
  • Experience in higher education, public sector, or nonprofit grants administration.
  • Demonstrated experience managing complex, multi-departmental grant budgets.

Knowledge, Skills, & Abilities:
  • Knowledge of the grants lifecycle, including proposal development, award management, reporting, and close-out.
  • Knowledge of state and federal grant funding and related compliance requirements.
  • Skill in developing, managing, and reconciling grant budgets and financial reports.
  • Strong written and verbal communication skills, including preparation of grant proposals, reports, and guidance materials.
  • Strong time-management skills and ability to manage multiple grants and deadlines while maintaining accuracy and compliance.
  • Ability to analyze information, identify compliance risks, and recommend appropriate solutions.
  • Ability to clearly communicate complex grants information to non-specialist stakeholders and grant-seekers.
  • Ability to work collaboratively with faculty, administrators, and external partners in a team-oriented environment.
  • Proficiency in Microsoft Office Suite and Google Workspace applications.


Additional Information:

Please note all offers of employment are contingent upon successful completion of the background check process.

Salary

Salary: $76,915.17 per year; commensurate with experience and qualifications.

Hiring Salary: $76,915.17 per year with step increments per Salary Schedule 93, after one year of service and annually thereafter.

Work Schedule

Days/Hours: M-F, 9:30am-5:30pm, in person; work schedule subject to change based on needs of the department.

Physical Requirements and Work Environment

The working conditions for this position will be primarily in an office space. The physical requirement for this position will require constant sitting, occasional standing, occasional bending, occasional walking, occasional pulling, pushing, or reaching, constant repetitive motions, constant use of hands to handle objects, and occasionally lifting 10 lbs. or less.
